If you are shopping for a Buildout alternative, the question that matters is not which product has the longest feature list. It is which one covers the work your brokerage actually does each week, what the working setup costs across a full year, and how much effort it takes to move your data. This compares SuiteCRE with Buildout, Apto, and PlyCRM on those terms.
The Short Answer
Buildout is the established, broad platform. It combines CRE CRM, prospecting, listing marketing, transaction, and back-office products for brokerages that want one vendor across a large part of the deal cycle. That breadth is genuinely valuable, especially for a team whose operating process is already built around it.
SuiteCRE is the leaner option for an independent broker or small team. Contacts, properties, deals, documents, commissions, email, calendar, e-signatures, listing buyer chat, and an AI assistant live in one workspace. Core CRM costs less than Buildout's published starting price, has no minimum seat count, and does not begin with an implementation project.
PlyCRM is the closest small-brokerage price comparison, with a sharp multifamily investment-sales focus: buyer matching, CoStar spreadsheet import, eblasts, and hands-on migration.
Apto is a different case. Buildout acquired it in January 2022, and Buildout has said it is no longer sold to new customers and is maintained for its existing base. Existing Apto users are making a migration decision; new buyers are not choosing it at all.
Choosing a Buildout Alternative: What to Compare
Comparison pages tend to line up feature checkboxes. That is not how the decision actually goes wrong. It goes wrong when a broker buys the licence and then discovers the working setup needs two more products, a signing tool, and a week of configuration. Four questions are worth more than any feature grid:
- What does the complete setup cost for a year? Not the starting seat price — the products you actually need, plus any platform, implementation, or data fees.
- What still lives outside the CRM? Every tool that stays separate is a subscription, a login, and a place where deal history goes missing.
- How does your data get in? A CRM you never finish populating is worse than the spreadsheet you were using.
- What happens if you leave? Ask every vendor, including this one, how you export everything.
Capability Comparison
| Capability | SuiteCRE | Buildout | Apto and PlyCRM |
|---|---|---|---|
| Best fit | Independent brokers and small CRE teams wanting one working system without a long setup | Brokerages wanting a broad, established platform across CRM, marketing, prospecting, and transactions | Apto serves its existing base; PlyCRM targets solo and small multifamily investment-sales teams |
| Email and calendar | Included in Core CRM, with activity kept next to contacts and deals | Available within the Buildout product set; confirm what is included in your quote | Confirm current capability with each vendor |
| Buyer engagement | Buyer chat on public listing pages, not counted against the broker's AI-message allowance | Listing marketing and prospecting are core strengths; verify the products and channels in the proposed package | PlyCRM describes buyer matching, eblasts, and a deal war room |
| Documents and signatures | Document storage and search plus e-signature envelopes in the same application | Document, marketing, and transaction capability varies by the products purchased | PlyCRM describes document data extraction and confidentiality-agreement access in its war room |
| Assistant and messaging | Full broker assistant on Broker AI, with SMS and WhatsApp workflows where those channels are enabled for the account | AI-assisted prospecting and workflow tools are available; confirm which are included in the quoted plan | Confirm assistant and messaging capability with each vendor |
| Commissions | Commission tracking included in Core CRM | Back-office and transaction workflows exist in the wider platform; scope the product you need in the quote | Confirm back-office and commission handling with each vendor |
| Getting your data in | Self-serve contact import: upload a CSV, review the proposed column mapping, confirm. Duplicates are detected and skipped | Ask what import, mapping, implementation, and training are included in writing | PlyCRM describes assisted migration from other systems |
Product packages change. Treat this as a buying checklist rather than a substitute for a vendor quote. Ask each vendor to show the workflow using your own sample data, and to list every required product, fee, and channel in writing.
Annual Cost Comparison
A monthly starting price hides the shape of the commitment. The table below converts published prices into a one-broker annual baseline. It does not guess at unpublished implementation, platform-maintenance, upgrade, data, or add-on fees, which is exactly why a starting price and a working total are different numbers.
| Product | Published price used | One-broker annual baseline | What to check |
|---|---|---|---|
| SuiteCRE Core CRM | $89 monthly or $890 annually | $890 on annual billing; $1,068 month-to-month | 100 AI messages included; additional messages $0.35 each |
| SuiteCRE Broker AI | $299 monthly or $2,990 annually | $2,990 on annual billing; $3,588 month-to-month | 750 AI messages included; additional messages $0.20 each |
| Buildout | Starts at about $125 per user per month | About $1,500 per user before other charges | Buildout says pricing is based on seat count and platform maintenance; confirm products, implementation, data, and term |
| Apto | Historic listings cited about $89 per user per month | Historic context only, not a current offer | Buildout says Apto is no longer sold to new customers |
| PlyCRM | Publishes per-broker pricing in a similar band to Core CRM | Roughly $1,100 a year at published rates | Check the current rate and what is included directly with PlyCRM |
Prices reviewed September 2026 and taken from each vendor's own published material where available. Taxes and usage charges are excluded. Competitor pricing changes without notice — confirm current figures with the vendor before making a decision on them.
Where SuiteCRE Has a Real Edge
SuiteCRE is not Buildout with a different logo, and pretending otherwise would not survive a demo. The advantage is narrower and more practical: an independent broker can cover more of the daily job inside one small-broker system.
- Email and calendar are part of Core CRM: communication and meetings stay attached to the records you are already working in.
- Buyer chat does not consume your AI allowance: public listing pages can answer buyer questions while you are out, without drawing down the plan's message budget.
- E-signatures are part of the workflow: an envelope does not start in a separate signing product and vanish from the deal record.
- The assistant travels with you: deal, listing, and document work over SMS and WhatsApp, where those channels are enabled for your account.
- Getting your contacts in is self-serve: upload your export, check the mapping, confirm. No implementation project, and no blank database on day one.
Those are real differences, and they are also the limit of the claim. Buildout keeps the advantage when a brokerage wants the reach and operating depth of its wider platform, particularly established listing-marketing, prospecting, transaction, or back-office processes. The right comparison is the smallest complete setup that handles your firm's actual work.
Where PlyCRM Fits
PlyCRM deserves a separate look because its per-broker price sits close to SuiteCRE Core CRM. It has a clear story for multifamily investment-sales brokers: find matching buyers, import CoStar spreadsheets, send eblasts, and move confidentiality-agreement signers into a deal room. If that is the shape of your business, the fit may be tighter than a broader product.
SuiteCRE is the wider workflow choice. Email and calendar are included, e-signature envelopes and commissions stay in the CRM, listing pages run buyer chat without a per-conversation charge, and Broker AI works across deals, listings, and documents. Choose on which description matches your week.
If You Are on Apto, This Is a Migration Decision
Apto's old per-user price still shows up in comparison searches, and it can mislead. Buildout acquired Apto in January 2022 and has said the product is no longer sold to new customers. An existing Apto user is choosing whether to stay on a maintained system, move within the Buildout product family, or move elsewhere. That is a different question from a new purchase, and it should be answered with your own data rather than a demo account.
Export your contacts, companies, properties, listings, deals, activities, notes, and documents before evaluating anything. Then run those real exports through each finalist and see what actually arrives.
How Moving Your Data Works
SuiteCRE imports contacts without a services engagement. Export your contacts from your current CRM as a CSV and upload it. SuiteCRE reads your column headings, proposes which field each one belongs in, and shows you that mapping alongside a preview of the first several contacts as they will be saved. You correct anything wrong, then confirm. Nothing is written until you do.
Contacts you already have are detected by email — or by name and phone number where there is no email — and skipped rather than duplicated, so re-running an import does not double your database.
Two things worth being straightforward about. First, the self-serve importer covers contacts today; deals and listings are not yet included, so ask us about those rather than assuming. Second, on privacy: your file is read in your browser, and only the column headings plus up to three example values per column are sent to work out the mapping. Your contact list is transmitted when you confirm the import, not before.
A careful move follows five steps:
- Export from the old system and keep an untouched backup.
- Upload the export and review the proposed column mapping.
- Check the preview: names, emails, companies, and anything you rely on.
- Confirm the import and read the summary of what was skipped.
- Compare record counts and spot-check active relationships before treating SuiteCRE as the system of record.
Do not cancel the old CRM until those checks pass. A fast migration is only useful when you can trust what arrived.
How to Choose
Choose Buildout when:
- Your brokerage wants a broad platform spanning prospecting, marketing, CRM, transactions, and back-office work.
- A Buildout-specific listing, syndication, data, or operating process is central to how the business runs.
- You are comfortable scoping a multi-product quote and a rollout.
Choose SuiteCRE when:
- You are an independent broker or small CRE team and want to start without a minimum seat count or a long implementation.
- Email, calendar, documents, e-signatures, commissions, buyer chat, and an assistant need to stay in one working system.
- You want a clear single-broker annual price and to move your contacts over yourself.
Choose PlyCRM when:
- You primarily sell multifamily investments and its buyer-matching, CoStar import, eblast, and war-room workflow matches how you sell.
- You would rather have a narrow, focused product than a wider broker operating system.
And if you are on Apto, treat this as a migration evaluation rather than a new purchase. Export your data, run it through each finalist, and make every vendor prove the move before you commit.
